Terms & Conditions

LEARNING MADE FUN: CREATE CLUBS — TERMS & CONDITIONS

By booking a place at a Learning Made Fun CREATE Club, the parent/guardian confirms that they have read and agree to the following terms and conditions.

1. HANDS-ON, CREATIVE & OUTDOOR LEARNING

Practical Activities

Learning Made Fun CREATE Clubs involve hands-on, creative, experimental and project-based learning. Depending on the programme, activities may involve art and craft materials, water, natural materials, soil, plants, microscopes, simple tools, scientific equipment, outdoor equipment and other age-appropriate resources.

Some activities can get messy. Children should attend in comfortable clothing and footwear that parents/guardians are happy to get dirty.

All activities are planned and supervised with the age and abilities of the participating children in mind.

Outdoor Activities

Some sessions may include outdoor activities, weather permitting. Parents/guardians should ensure children arrive with suitable clothing and footwear for the conditions, including a coat or rain jacket where appropriate.

Changes to Activities

Advertised activities provide an indication of the experiences we aim to deliver. Activities may occasionally be adapted, substituted, postponed or rescheduled due to weather, equipment or visitor availability, the needs of the group, or health and safety considerations.

2. HEALTH, SAFETY & MEDICAL INFORMATION

Medical Information

Parents/guardians must provide accurate and up-to-date information regarding any medical conditions, allergies, dietary requirements, additional needs or other information that may affect their child's safe participation.

Parents/guardians should contact Learning Made Fun before attendance if their child has a medical, behavioural, accessibility or additional support need that may require specific arrangements. This allows us to discuss how best to support the child safely and appropriately.

First Aid & Emergencies

Parents/guardians give permission for appropriately trained Learning Made Fun staff to administer basic first aid where necessary.

In an emergency, Learning Made Fun may contact the emergency services and seek appropriate medical assistance. Every reasonable effort will be made to contact the child's parent/guardian or emergency contact as soon as possible.

Illness

Children should not attend if they are unwell, contagious, vomiting, have diarrhoea, have a high temperature, or are otherwise not well enough to participate safely.

Independent Toileting

Unless alternative arrangements have been agreed with Learning Made Fun in advance, children attending CREATE Clubs should be able to use the toilet independently.

3. BOOKINGS, PAYMENTS, CANCELLATIONS & MISSED SESSIONS

Booking & Payment

A child's place is secured through the Learning Made Fun booking system and is subject to availability.

The full-programme price covers the sessions included in that programme. Where trial sessions are offered, a trial booking covers the specified trial session only.

Missed Sessions

If a child is unable to attend a scheduled session, the session is normally non-refundable and cannot be transferred to another date.

Cancellation by Parent/Guardian

Where a parent/guardian wishes to cancel a full-programme booking before the programme begins, they should contact Learning Made Fun as soon as possible.

Refunds will be considered depending on the notice provided and whether the place can reasonably be filled by another child. Any non-refundable booking or transaction fees charged by third-party payment providers may be deducted where applicable.

Once a programme has begun, refunds for remaining sessions are not normally provided except in exceptional circumstances and at the discretion of Learning Made Fun. This does not affect any statutory rights.

Cancellation by Learning Made Fun

If Learning Made Fun cancels an individual session, we will aim to provide a replacement session where reasonably possible. If a suitable replacement cannot be provided, an appropriate refund or credit will be offered.

Learning Made Fun may amend, postpone or cancel sessions or programmes because of circumstances such as insufficient enrolment, venue availability, staff illness, severe weather, safety concerns or other circumstances outside our reasonable control.

If Learning Made Fun cancels an entire programme before it begins, affected bookings will be offered a refund or, where appropriate, the option to transfer to another available programme.

4. ARRIVAL, COLLECTION & PERSONAL BELONGINGS

Parents/guardians are responsible for ensuring that children arrive and are collected at the advertised times.

Children will only be released in accordance with the collection information provided by their parent/guardian. Parents/guardians should inform Learning Made Fun of any relevant changes to collection arrangements.

If a parent/guardian expects to be late collecting their child, they should contact Learning Made Fun as soon as possible.

Children should not bring valuable items, unnecessary electronics, toys or other personal belongings unless requested as part of an activity.

Learning Made Fun cannot accept responsibility for loss or damage to personal belongings except where required by law.

Phones & Personal Devices

Phones and other personal devices should not be used during CREATE Club activities unless agreed in advance for a specific medical, accessibility or safety reason.

5. BEHAVIOUR & CODE OF CONDUCT

Learning Made Fun aims to provide a safe, welcoming, inclusive and creative environment for every child.

Children are expected to:

  • listen to reasonable staff instructions;
  • treat other children and staff with respect;
  • use equipment and materials safely;
  • remain within agreed activity areas; and
  • avoid bullying, physical aggression, deliberately unsafe behaviour or persistent serious disruption.

Where behaviour becomes unsafe or significantly disrupts the experience of other children, Learning Made Fun will respond appropriately and, where practical, work with the child and parent/guardian to resolve the situation.

If a child's behaviour presents a significant risk to themselves or others, a parent/guardian may be contacted and asked to collect them.

In serious or repeated cases, Learning Made Fun reserves the right to end a child's participation in the programme. Refunds are not normally provided where participation is ended because of serious or repeated unsafe behaviour. Each situation will be considered individually and handled as fairly and sensitively as possible.

6. PHOTOGRAPHY, VIDEO & MEDIA

Learning Made Fun may photograph or film activities for legitimate operational purposes such as documenting projects and activities, provided this is handled in accordance with applicable data-protection and safeguarding requirements.

Permission for a child's identifiable photograph or video to be used publicly for Learning Made Fun promotional, social-media, website or educational content will be requested separately and is not a condition of attending a CREATE Club.

Parents/guardians may decline public media consent without this affecting their child's ability to participate.

Where public media consent has been provided, Learning Made Fun will take reasonable steps to protect children's privacy and will generally avoid publishing a child's full name alongside identifiable images or video.

Parents/guardians should be aware that once content has been legitimately published online, Learning Made Fun cannot fully control subsequent sharing or copying by third parties.

7. DATA PROTECTION

Learning Made Fun collects and processes personal information necessary to administer its programmes safely and effectively. This may include:

  • child's name and date of birth;
  • parent/guardian and emergency contact details;
  • medical, allergy and additional-support information;
  • booking and payment information;
  • attendance information; and
  • photography/video consent preferences.

Personal information will be handled securely and used only for appropriate purposes such as programme administration, communication, safeguarding, health and safety, payments, insurance, accounting and legal or regulatory requirements.

Information will only be retained for as long as reasonably necessary for these purposes and will be handled in accordance with applicable data-protection law.

8. PARENT/GUARDIAN CONFIRMATION

By completing a booking, the parent/guardian confirms that:

  • the information provided about their child is accurate and complete to the best of their knowledge;
  • they will inform Learning Made Fun of any relevant changes before or during the programme;
  • they understand the practical, creative and potentially messy nature of CREATE Club activities;
  • they agree to the booking, cancellation and attendance conditions above; and
  • they have read and agree to these Terms & Conditions.
